Using Images and Video: Rules for Using Visual Content

  • Use images freely available if possible (Creative Commons, Public Domain, etc.)
  • Directly below image or video, say where it is from
    • Creative Commons: Title of image/video (link to original) + author (link to profile page) + Used under license (link to license)
    • Public Domain: Title of image (link to original) + author + date or n.d. if not given + Public Domain
  • Use alt text description for all images and caption all videos and tables (accessibility requirement)
  • Do not drag and drop images or copy and paste images directly into your guide
  • Upload images and organize them in folders
  • Name the file something meaningful

Uploading Images

  1. Find an image and save it to your pictures folder. Make sure to name it something meaningful!
  2. In a box, click add rich text.
  3. Click the sun/moon icon
  4. Click Browse Server
  5. Find your image and click the little sun/moon icon beneath it
  6. Add a description in the Alt Text box
  7. Resize image if desired; lock image to keep proportions
  8. Click okay
  9. Add text/link underneath giving credit for image

Uploading Videos

  1. Select Add Media/Widget from the Box content dropdown menu
  2. Find a video and copy the embed code
    On YouTube, underneath the video, click Share, then click Embed, copy and paste the code.
  3. Give the video a title
  4. Save and Close

All videos must be captioned.  Follow the procedures for captioning videos detailed in the packet next to the reference office computer. Captions may be edited.  Once your videos have been submitted for captioning and the captioning completed, you should double check it for accuracy and edit if needed.
